Effects of Timetable changes on Daily Organiser File

We recommend that Daily Organisers do not work too far ahead.
At this time of year timetablers are often fine tuning their timetable files. Any changes they make have an impact on the Daily Organiser as the Daily Organiser file is linked to the timetable file. In the latest update, a new message has been added to the Daily Organiser to warn you when changes have been made to a timetable file. An example of the message is in the attached file.

Consider the scenario where changes have to be made to the timetable and these changes take effect from next Monday. The implications for the Daily Organiser will vary depending on how the timetabler manages the timetable files.

1. Timetable file with a different name is used: The timetabler creates a copy of the timetable file, gives it a new name eg Timetable 2009 Sem 1 Version 2, and after making the changes in this copy, asks the Daily Organiser to link the Daily Organiser file to the new timetable file on the date when the changes take effect.
Implications for the Daily Organiser
• When working on replacements for the remainder of this week, work as normal.
• If you have not started doing the replacements for next week, link your DO file to the new timetable file then work as normal.
• If you have started doing the replacements for next week, link your DO file to the new timetable file. When you get the attached message, click OK then save. This will mean that the DO file is only reading information from the new timetable file.
• If you want to go back to a particular day, change the Day/Date and if the above message appears all you need to do is to link your DO file with the timetable file used on that day and all your data will be intact.

2. Same Timetable file name used: The timetabler makes a copy of the timetable file, makes the changes in this copy and then replaces the current timetable file with the changed one on the date when the changes take effect. In this case the new timetable file has the same name as the old file.
Implications for the Daily Organiser
• When working on extras for the remainder of this week, work as normal.
• The timetable file will need to be changed between Friday and Monday
• If you have not started doing the extras for next week, work as normal.
• If you have started doing the extras for next week, you will get the attached message when you open the DO file, click OK then save. This will mean that the DO file is only reading information from the new timetable file.
• DO NOT GO BACK TO A PREVIOUS DAY as any replacements done will be lost.
 If you wish to check what happened on a previous day use Teacher Totals
 If you wish to change information from a previous day eg someone did/did not do a particular replacement then make changes in Teacher Adjustments. This will change the teacher totals and you can make notes of the reasons.
